How HostHub uses your information
HostHub is a private community calendar. It uses the minimum information needed to verify access, connect calendar participants, and keep the service reliable.
Information we store
- Discord user ID, display name, avatar reference, server membership, and access tier.
- Bigo ID and agency links confirmed by calendar administrators.
- Event confirmations, declines, reminder deliveries, manual corrections, and administrative audit entries.
- A secure server-side login session. The browser cookie contains only a random session token.
Retention
- Login sessions expire after 14 days and are removed automatically.
- Calendar, reminder, and administrative logs are retained for 12 months, then removed automatically.
- Event history follows the source calendar and is retained while needed for community administration.
- Confirmed identity links are retained while the person is a member or while the link is needed to administer existing calendar records.
Access and sharing
Access follows Discord roles. Identity links are visible only to Leaders, Admins, Owners, and Calendar administrators. HostHub sends event reminders to the relevant private agency channels in Discord, but does not publish calendar data to public channels or sell personal information. Discord and Google process information under their own terms when their login and Sheets services are used.
Correction and deletion
Ask the server owner or a Calendar administrator if you want to inspect, correct, or delete your information. When a source entry also exists in Google Sheets, it must be corrected or removed there so that it is not imported again. Requests are handled after identity verification and unless information must be retained for security or an ongoing administrative matter.
